Effective date: [2026‑05‑13]

  1. Booking and confirmation
    • Bookings are made via our online booking form. A booking is confirmed when SOLVI Adventures issues a booking confirmation by email. The person making the booking must be authorised to accept these terms on behalf of all participants.
  1. Payment and pricing
    • Payment is by bank transfer to the account details on the invoice. Full payment is due no later than 21 days before the trip start (or immediately for bookings made within 21 days of departure). Prices are quoted in NOK and include applicable taxes unless stated otherwise. We reserve the right to correct obvious pricing errors.
  1. Changes by you (participant) and cancellations
    • To change or cancel a booking, notify us in writing (email). Changes may incur additional fees.
    • Cancellation fees:
      • If you transfer your booking to another person, you remain liable unless we confirm the transfer in writing.
      • More than 30 days before start: 40% depsoit will be charged.
      • Less than 30 days before start or no‑show: no refund.
  1. Changes or cancellation by SOLVI Adventures
    • We may cancel or materially change a trip for safety, weather, staffing or other operational reasons. If we cancel, you will be offered an alternative date or a full refund. If we materially change essential elements of the trip, you may accept the change, accept an alternative, or cancel with full refund. We are not liable for costs you incur independently (flights, accommodation) — we strongly advise all participants to have their own travel insurance.
  1. Safety, fitness and obligations of participants
    • You must provide accurate information about health, fitness and any medical conditions or allergies at booking. Guides may refuse participation if a participant’s fitness or behaviour risks safety. Follow guide instructions and local rules; failure to comply may result in removal from the trip without refund.
  1. Emergency contact and emergency procedures
    • Emergency contact: At booking you must provide the name and telephone number of an emergency contact who can be reached while you are on the trip (name, relation, and a daytime phone/mobile number).
    • Use of contact: We will use this emergency contact only if necessary for safety, medical treatment, rescue, or to notify next of kin following a serious incident.
    • Medical information access: You must disclose any medical conditions, medications or mobility limitations that could affect participation; guides will have access to this information to assist in an emergency.
    • Duty to assist and emergency response: Our guides will follow established emergency procedures, administer first aid where trained, and contact local emergency services (call 112 for immediate rescue/medical emergencies in Norway) where required. We will also attempt to contact your emergency contact as soon as practicable.
    • Responsibility and consent: By booking you consent to our use of your emergency contact information for the limited purposes above and acknowledge that we may share necessary details with emergency services, medical providers, or rescue organisations.
    • Withdrawal or changes: If your emergency contact details change, you must inform us before the trip. If you do not provide an emergency contact or withhold relevant medical information, we may refuse to permit participation for safety reasons.
  1. Liability and limitation of liability
    • SOLVI Adventures exercises reasonable care in organising and running trips. Except for intent or gross negligence, our liability for loss, injury or damage is limited to the price paid for the affected service. We are not liable for indirect/consequential losses or for actions of third‑party suppliers beyond our control.
  1. Insurance
    • You must hold appropriate travel and activity insurance covering medical expenses, evacuation, personal injury and personal effects. We strongly recommend cancellation insurance for pre‑paid costs such as flights or accommodation.
  1. Weather and force majeure
    • Trips may be modified, postponed or cancelled due to weather, natural events, strikes, government action or other force majeure. We will attempt to notify you as soon as practicable and offer alternatives or refunds as appropriate.
  1. Photos, marketing and consent
    • We may take photos/videos during trips for safety and promotional use. We will request consent on booking; if you decline, we will make reasonable efforts not to publish your images. You may withdraw consent later and we will remove images from future use where feasible.
  1. Personal data
    • Personal data collected for bookings is processed according to our Privacy Policy [link]. We retain booking and accounting records for years to comply with Norwegian bookkeeping rules.
  1. Complaints and refunds
    • Report complaints to us promptly (email [hello@solviadventures.no]) and allow us reasonable time to respond and remedy. If unresolved, you can escalate to Datatilsynet for data issues or seek consumer advice from relevant Norwegian authorities.
  1. Applicable law and jurisdiction
    • These terms are governed by Norwegian law. Disputes shall be brought before the ordinary Norwegian courts, with venue [Vågan kommune].
  1. Acceptance
    • By making a booking or participating in a trip you accept these Terms & Conditions.
